Position Overview :
HBM Engineering Group is seeking a highly skilled Administrative Assistant/Accountant to provide essential support to senior management and project teams. This role focuses on financial tracking, administrative efficiency, and business development support to ensure smooth operations across the organization. The ideal candidate will be proactive, detail-oriented, and have proven experience in accounting and administrative functions, particularly within the transportation engineering industry. Primary Responsibilities Include but Are Not Limited To:

  • Prepare and reconcile financial statements (e.g., balance sheets, profit and loss statements).
  • Manage accounts payable/receivable, invoicing, and project-specific financial tracking.
  • Assist with budget preparation, forecasting, and cash flow analysis.
  • Oversee month-end and year-end closing processes.
  • Ensure compliance with accounting standards, tax filings, and regulatory requirements.
  • Support internal and external audits as needed.
  • Maintain organized records and project documentation.
  • Draft and distribute business correspondence and technical documents.
  • Coordinate onboarding for new hires and provide systems training.
  • Serve as the primary contact for staff and financial inquiries.
  • Contribute to process improvements and policy development.
  • Collaborate with project managers to develop budgets, schedules, and financial projections for new opportunities.
  • Create and maintain project-specific financial dashboards for internal and external use.

Qualifications and Skills

  • Education: Bachelor’s degree preferred (Accounting, Finance, Business Administration, or related field).
  • Experience: 2-5 years in an administrative/accounting role; experience in A/E/C industries preferred.
  • Familiarity with IDOT, Illinois Tollway, and CDOT invoicing processes is a strong plus.
  • Proficient in Microsoft Office Suite and accounting systems (e.g., QuickBooks, Deltek Ajera).
  • Strong organizational, analytical, and problem-solving skills with attention to detail.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Excellent communication and interpersonal skills.
